How do I chart the time for DCR Formal Review by department?

Each Document Change Request (DCR) is reviewed by multiple departments, so the charts shown at https://grandavenue.atlassian.net/l/cp/ooXPq0Si can be used only for charting the total time DCRs are in Formal Review. Formal Review durations by individuals or departments are measured by looking at the difference between the time each Formal Review task assignment was created and the time it was signed off.

Grand Avenue has two ways to chart DCR Formal Review duration by individual or department.

Click the expand (>) controls below to display an example of each method.

  1. Click Search/Chart > Search for Task Assignments and enter the search criteria as shown in the example below. Clear Max # of Items to Display if needed to see all task assignments that fit these criteria.

  2. At the search results, click Generate Chart for Results to create a chart of task assignments.

  3. This example shows how to set up a chart in Grand Avenue to analyze the number of days required for each department to to review DCRs.

The chart above shows that all departments completed their Formal Review assignments within 30 days. The “bins” used for this chart (e.g. “0-30 days”, “31-60 days”) cannot be changed in Grand Avenue.

  1. Click Search/Chart > Search for Task Assignments and enter the search criteria as shown in the example below. Clear Max # of Items to Display if needed to see all task assignments that fit these criteria.

  2. At the search results, click Export Results to Excel to initiate the data export.

  3. At the bottom of the next page, click Export Results to Excel to export the raw data to a CSV file. Open the exported CSV file and save it as an Excel Workbook (.xlsx).

  4. Create a new column for the number of days to complete Formal Review. Subtract the Task Assignment Created Date from the Completed Date to populate the new column with values.

  5. Use the exported data to generate a Pivot Table in Excel.

  6. Group the rows in the PivotTable to define the Pareto chart “bins”.

  7. Create the corresponding Pivot Chart.
