How do I manage training without users receiving tasks to complete their own training?

What Actions May Generate Incomplete Training Records?

  1. A training coordinator creates new training requirements (e.g., assigns a training profile to a user, assigns a document to a training profile)

  2. Refresher training is generated (either scheduled or unscheduled).

  3. A document control coordinator releases new document revisions in a DCR

How Are Incomplete Training Records Closed?

After incomplete training records are generated, the next step in the process is for an authorized person to determine how that training should be completed.

The following two options are available:

  • Manually assign users to complete their own training. In this case, the system generates associated Complete Training tasks, which are then manually assigned to users to complete. The Complete Training tasks authorize users to sign off their own training records.

  • Manually mark training complete. In this case, no training tasks are generated. A department manager, trainer, or training coordinator uses a Manage Training page to manually mark the users' training complete. The only visibility users have to this kind of training is that they see an alert when the incomplete training or certification goes overdue. Users are not assigned tasks to complete the training, so they have no way to act on those overdue training alerts.

Do Training Records Have to be Closed Manually?

Instead of waiting for someone to manually assign users to complete their own training, the system has an option to automate this step. If the automation is enabled, coordinators see the question Assign Users to Complete Own Training? as shown in the screenshot below every time new incomplete training records are generated:

  • When a coordinator answers “Yes” to Assign Users to Complete Own Training?, Complete Training tasks are generated and automatically assigned to users without further manual intervention.

  • When a coordinator answers “No” to Assign Users to Complete Own Training?, no training tasks are generated. A training coordinator, department manager, or trainer must use a Manage Training page to manually mark the users' training complete.

The default answers to the questions in the screen shot above are determined by configuration settings. Go to Configure Training > Configure Training Process Options and look for this section of the page:

If you never want coordinators to automatically assign users to complete their own training, set the first configuration option to "No", disabling the automation feature.

If you want coordinators to automatically assign users to complete their own training for some items but not others, set the first option to "Yes"to enable the feature, but set the default answer to Assign Users to Complete Own Training? to either "No" or blank. Setting it to blank means that coordinators always make an explicit decision about whether to automatically assign users to complete their own training for a given set of incomplete training records.
