How do I establish the first due date for an equipment activity on a floating schedule?

When a piece of equipment is associated with a floating activity schedule, Grand Avenue immediately generates an incomplete activity record for that activity on the selected piece of equipment. The following are examples of situations where an initial incomplete activity record is generated:

  • A new piece of equipment is assigned to a profile with one or more activities on floating schedules

  • A floating schedule is added to an activity that was previously unscheduled

  • A piece of equipment with scheduled activities is moved from one equipment profile to another

The purpose of this initial activity record is to establish the starting point of the floating schedule, which may be in the past. If the equipment activity has already been performed, the starting point of its floating schedule is established by signing off the incomplete activity record using the equipment activity’s most recent Date Activity Completed.

When the system creates this initial activity record for the floating schedule, it starts with a default Activity Due Date in the future, even though you may be using this record to document a previously completed activity.

Example

  1. A new piece of equipment with ID 127 is added to the Pin Gauge equipment profile, which has one Pin Gauge Calibration activity as shown below. The equipment is assigned to the Annual Pin Gauge Calibration floating schedule, which has a frequency of 365 days with 45 days to complete the activity.

     

  2. This action automatically generates an incomplete activity record like the one shown in this example. Grand Avenue does not yet have enough information to set the next due date for this activity, so the default Activity Due Date is the current day plus the number of days to complete the activity (e.g. 07-JUL-2023 + 45 days = 21-AUG-2023).

     

  3. The pin gauge manufacturer supplied a certificate saying that the equipment was calibrated prior to shipment on 22-Feb-2023, so the Next Date Due should be 22-Feb-2024. The starting point of the floating schedule is established by clicking Perform on the task and signing off the incomplete activity record using the manufacturer’s calibration date as the Date Activity Completed.

     

  4. Now the Next Due Date is 22-Feb-2024 as expected.
