This page contains examples of charting overdue training by department using Grand Avenue’s internal charting tool and Excel. Questions to help determine the appropriate training record search criteria are at How do I select the correct data to show my training metrics?
Click Search for Training Records.
If applicable, select search criteria
Training Item Type [Blank/Deviation Request/Document/General Training Item]
Training Status [Blank/Incomplete Training/Incomplete Certification/Complete]
User Assigned to Complete [Blank/Yes/No]
Training Overdue? [Blank/Yes/No]
Training-related dates
Clear the Max # of Items to Find.
Click the Search button.
Click Generate Chart for Results to create a chart of training records.
Example 1: Quantity of Training Completed by Month
Select the chart options shown below and click Generate Chart.
Example 2: Chart Overdue Training by User
Select the chart options shown below and click Generate Chart.
If the search results include only overdue records, the secondary chart method is not needed.
The charts above show the users with the top ten number of training records. Users outside of the top ten are combined into the “Other Values” group. The number of users displayed on the chart cannot be changed.
Example 3: Chart Overdue Training by Department
Select the chart options shown below and click Generate Chart.
If the search results include only overdue records, the secondary chart method is not needed.
The charts above show the departments with the top ten number of training records. Departments outside of the top ten are combined into the “Other Values” group. The number of departments displayed on the chart cannot be changed.
Example 4: Chart Overdue Training by Month
Select the chart options shown below and click Generate Chart.
If the search results include only overdue records, the secondary chart method is not needed.
Example 5: Chart the number of days to complete training
Select the chart options shown below and click Generate Chart.
If the search results include only overdue records, the secondary chart method is not needed.
The charts above show the time to complete training in 30-day increments. Neither the number of increments nor their duration can be changed.
📘 Training metrics using Excel
Charts generated in Excel from exported data take more time to create but have a full range of flexibility in how the data is presented.
Click the Export Results to Excel link on the search results page.
On the next page, click the Export Results to Excel button. Open the exported CSV file and save it as an Excel Workbook (*.xlsx). In the Excel workbook, click Insert → PivotTable. When prompted, place the PivotTable on a new worksheet.
Example 1: Quantity of Training Completed
Select the PivotTable Fields shown below.
Drag the Months (Training Completed Date) field to the Rows box.
Drag the Training Completed field to the Values box.
Here’s the PivotTable generated from the fields selected above.
Select the Pivot Table and click Insert → PivotChart. Here’s the corresponding PivotChart.
Example 2: Chart Overdue Training by User
Select the PivotTable fields shown below.
Drag the User field to the Rows box.
Drag the Training Overdue? field to the Columns box.
Drag the Training Overdue? field to the Values box.
Here’s the PivotTable generated from the fields selected above.
Select the Pivot Table and click Insert → PivotChart. Here’s the corresponding PivotChart.
To display only the overdue training records, go back to the PivotTable, click the arrow next to Column Labels, and deselect Overdue? = “No”.

Example 3: Chart Overdue Training by Department
Select the PivotTable fields shown below.
Drag the Department Name field to the Rows box.
Drag the Training Overdue? field to the Columns box.
Drag the Training Overdue? field to the Values box.

Select the Pivot Table and click Insert → PivotChart. Here’s the corresponding PivotChart.
To display only the overdue training records, go back to the Pivot Table, click the arrow next to Column Labels, and deselect Overdue? = “No”.

Example 4: Chart Overdue Training by Month
Select the PivotTable Fields shown below.
Drag the Months (Training Completed Date) field to the Rows box.
Drag the Training Overdue? field to the Columns box.
Drag the Training Overdue? field to the Values box.

Select the Pivot Table and click Insert → PivotChart. Here’s the corresponding PivotChart.
To display only the overdue training records, go back to the Pivot Table, click the arrow next to Column Labels, and deselect Overdue? = “No”.

Example 5: Chart the number of days to complete training
Delete or hide all columns in the exported data except Training Overdue?, Training Completed Date, and Training Record Created Date. Add a new column “Days to Complete Training” to the worksheet. In this example, the days to complete training is computed by subtracting the Training Record Created Date from the Training Completed Date. Fill the formula down the entire “Days to Complete Training” column.
In the Excel workbook, click Insert → PivotTable. When prompted, place the PivotTable on a new worksheet.
Select the PivotTable Fields shown below.
Drag the Days to Complete Training field to the Rows box.
Drag the Training Overdue? field to the Columns box.
Drag the Training Overdue? field to the Values box.
Here’s an example PivotTable generated from the fields selected above.
Right click on the first column and select Group…
Select the number of days to include in each grouping (example: 3 days per group)
Here is the same Pivot Table with the number of days to complete training in groups of 3 days.
Select the Pivot Table and click Insert → PivotChart. Here’s the corresponding PivotChart.
