How Do I Store Document Files Larger than 400 MB?

The default maximum file size that can be uploaded to Grand Avenue Software is 100 MB. For files that cannot be further compressed or divided into multiple smaller pieces, the limit can be temporarily increased up to 400 MB. That limit should be returned to the default value once those large files have been uploaded.

All streaming content and Microsoft Office files, PDF files, ZIP files, etc. that cannot be reduced to less than 400 MB should be stored in a controlled location on a shared file server.

Using a Shared Folder on a File Server

  • Permissions to the shared folder should be controlled. Document control coordinators should have full access; everyone else should have read-only access to prevent released document files from being modified.

  • Below is a suggested structure for the shared folder:

<Drive>:\GAS Large Controlled Files\<Document Number>\<Revision>\<primary and additional files>

  • In GAS, a placeholder primary document file should refer users to the location of the primary and additional document files on the file server.

  • The company’s document control and/or quality records procedure should reference the maximum file size in GAS and describe where files larger than that are stored.
