How do I prevent tasks from being assigned to deactivated users?

When an employee leaves the company, the first step in Grand Avenue is to deactivate the employee’s user account in all production and test instances. Deactivating the account prevents the user from logging in to the system, but it does not prevent tasks from being assigned to that user. The instructions below show how to remove or reassign the roles and responsibilities that can cause tasks to be inadvertently assigned to deactivated users.

Hosted Customers only: Removing roles and responsibilities not only prevents tasks from being assigned to deactivated users, but it also reduces the number of bounced notifications being sent from our hosting server to users who no longer have valid email addresses. Bounced emails affect our quality rating with our email provider, so fewer bounced email notifications reduce the possibility that our outgoing email notifications are flagged as spam.

 

These tools cannot detect the possibility that a DCR in preliminary or formal review could potentially be rejected back to a deactivated originator, but using them will prevent other occurrences of tasks being assigned to deactivated users.
