How is training on Deviation Requests different than training on Change Requests?

 

This article applies only to Grand Avenue Software GAS 16.2 and prior releases.

Change Requests

When a change request is released, Grand Avenue immediately creates incomplete training records for all users who have training requirements on documents in that change request. From there, any of the following can happen:

  • The document control coordinator releasing the change request can specify that users automatically be assigned tasks to complete their own training (e.g., Read and Understand Training).

  • People authorized to manage training can manually assign users tasks to complete their own training (e.g., Read and Understand Training).

  • People authorized to manage training can manually mark the training record complete.

Deviation Requests

Deviation training was specifically designed to work differently than change request training in the following ways:

  • Users who require deviation training are trained on deviation requests as a whole rather than on their individual included documents. You will not find deviation training records listed on a Manage Training for Document page or a View Training History for Document page.

  • Users who have training requirements on the documents in a deviation request may not require training on the deviation. When a deviation request is released, the system does not automatically generate incomplete training records for everyone with training requirements on the included documents. Only when coordinators mark deviation training complete for selected users does the system generate incomplete deviation training records for those users and immediately close them. The current training architecture can’t support the assignment of users to complete their own deviation training (e.g., Read and Understand Training) because the process has no steps between creating and closing deviation request training records.

Deviation Training Task Alert

People authorized to manage training see the Task Alert below when the system has effective deviation requests where one or more included documents have training requirements.

Manage Training for Effective Deviations

Click Manage Training for a deviation request.

Before the system generates incomplete training records for a deviation request, it displays a list of all users who have training requirements on the included document(s). Someone authorized to manage training selects only the users who require training on the deviation request.

Mark Training Complete

When the Mark Training Complete button is clicked, the system generates incomplete deviation training records only for the users selected from the list (no incomplete training records are generated for the users not selected from the list). The default Training Required-by Date on those training records is the deviation Released Date. After generating the incomplete deviation training records, Grand Avenue immediately closes them.
