How do I export items from Grand Avenue Software?

 

This article describes the methods available for exporting human-readable data out of the Grand Avenue application. Click the expand (>) controls below to view detailed instruction for each type of export.

Step 1: Enable Exports to the Web Server

This step must be completed before any exports can be performed.

  • Click Configure SystemConfigure Server Export Options and set “Enable Content Export to Server” to Yes.

  • Enter your Server Export Directory

    • Hosted customers use Z:\FTP\<your-site-name>.

    • On-premise customers should contact their IT department

Step 2: Perform Exports

All Modules

Each “Search” page for a process item has a corresponding “Export Results to Excel” feature that will export the metadata for the process items in the search results to a CSV-formatted file on the user’s local computer.  This option provides a simple interface for exporting a significant amount of the metadata for each type of process item.  

Instructions

To export the basic metadata for a particular type of process item:

  • Click the “Search for <item-type>” link in the navigation menu

  • Enter the desired search criteria

  • Click the “Search” button

  • Click the “Export Results to Excel” link

  • Click the “Export Results to Excel” button

Example Export of NCM Reports

On Microsoft Windows, the default behavior is for the generated export file to be saved in your “downloads” folder. Files in CSV format do not retain formatting when saved and reopened. If you want to format the columns, you can open the .csv file and save it as an Excel Workbook (.xlsx file).

CAPA

CAPA Module Administrators may batch export CAPA Requests to a directory on the Grand Avenue web server.

Prerequisite

  • Grand Avenue release 15.5 or later

Export Instructions

  • Click “Manage CAPA Requests” in the navigation menu

  • Click “Export CAPA Requests”

  • Use search criteria to specify which CAPA Requests should be exported

  • Click the “Search” button

  • Click “Export Results to Server”

  • Click the “Export CAPA Requests to Server” button and wait for the message “CAPA Requests exported to <file-name> on the web server.”

  • Access the server location via FTP to download the files that were exported

    • Note: Customers with installations hosted by Grand Avenue should contact support@grandavenue.com to request instructions for accessing their private FTP site.

Complaint Handling

Complaint Module Administrators may batch export Issues to a directory on the Grand Avenue web server.

Prerequisite

  • Grand Avenue release 15.6 or later

Export Instructions

  • Click “Manage Issues” in the navigation menu

  • Click “Export Issues”

  • Use search criteria to specify which Issues should be exported

  • Click the “Search” button

  • Click the “Export Results to Server” link

  • Click the “Export Issues to Server” button and wait for the message “Issues exported to <file-name> on the web server.”

  • Access the server location via FTP to download the files that were exported

    • Note: Customers with installations hosted by Grand Avenue should contact support@grandavenue.com to request instructions for accessing their private FTP site.

  • Click “Manage Complaints” in the navigation menu

  • Click “Export Complaints”

  • Use search criteria to specify which Complaints should be exported

  • Click the “Search” button

  • Click “Export Results to Server”

  • Click the “Export Complaints to Server” button and wait for the message “Complaints exported to <file-name> on the web server.”

  • Access the server location via FTP to download the files that were exported

Design Control

Design Control Module Administrators and, optionally, Project Managers, may batch export Design Projects to a directory on the Grand Avenue web server.

Prerequisites

  • Grand Avenue version 15.6 or later

  • Click Configure Design Control Configure Design Control Process Options and set “Enable Export of Project Files” to Yes.

    • GAS Version 15.6 and Later: Design Control Module Administrators are able to export Design Project files once “Enable Content Export to Server” is set to Yes and a “Server Export Directory” is Defined (refer to steps above). At 15.6, the “Enable Export of Project Files” was updated to “Allow Project Manager to Export Design Project to Server.” This will allow Project Managers to also export design projects to the server.

Export Instructions

  • Click “Manage Design Projects” in the navigation menu

  • Click “Export Design Projects”

  • Use search criteria to specify which Design Projects should be exported

  • Click the “Search” button

  • Click “Export Results to Server”

  • Click the “Export Design Projects to Server” button and wait for the message “Design Projects exported to <file-name> on the web server.”

  • Access the server location via FTP to download the files that were exported
